A food manufacturer in North Jersey is looking for an Executive Legal Assistant.


The candidate will be responsible for providing legal administrative and clerical assistance and support to the Legal Department.
Must have exceptional interpersonal and communication skills.
Must maintain confidentiality of all legal matters and of all communications with principals, management and internal operations staff.
Must effectively communicate and serve as a proper liaison with all departments within the corporation, outside counsel, customers, vendors, and most importantly key members of the senior executive team including the President and other senior members of management and the legal department.
Must be highly organized and detail oriented.
Must efficiently manage time and projects with close attention to detail and deadlines.
Must be effective in stressful situations while maintaining a positive and professional attitude.
Must be proactive and anticipate needs and display initiative.
Must be proficient with Microsoft Office products, Word, Outlook, Excel spreadsheets, PowerPoint. Spanish a plus as we are a National and International corporation with offices located in Puerto Rico, Spain and the Dominican Republic.
The candidate's responsibilities will include, among others, the following:
Monitor, prepare and file regulatory/compliance filings and annual reports as requested.
Prepare, review and/or edit matter forms, legal forms and other documents. Prepare, draft, proof–read and edit correspondence.
Create, organize and maintain matter files and files lists.
Track, locate and keep updated all case files.
Schedule appointments and track and manage calendars.
Locate, open and route mail.
Answer attorneys' phone lines when attorneys are busy and take detailed messages.
Process invoices for legal and other service fees.
Handle daily filing and file upkeep.
Learn, maintain organize and update Intellectual Property files.
Conduct internet research.
Conduct preliminary legal research on Westlaw. (Preferred but not required).
Assemble discovery documents.
Perform general office administrative tasks as assigned
