Description of Job: Perform a variety of administrative activities in support of the Legal Department staff.

Principal Responsibilities:
  • Review agreement requests from internal clients and prepare appropriate documents for attorney review; track agreement process and follow up with internal clients as necessary. File electronic copies in iManage and paper copies in file cabinet.
  • Prepare reports and notices to internal clients.
  • Create Adobe Acrobat pdf forms as requested by Legal Department members.
  • Pull expired agreement files, index and send to storage.
  • Administer iManage document management system.
  • Assist attorneys with drafting of CDAs, MTAs, Amendments and other routine or standard documents.
  • Assist with administration of Corporate Compliance Policies and Procedures.
  • Act as a liaison with outside counsel and internal personnel to manage and process document flow of patent prosecution, such as new patent applications filed and issued, declarations and assignment documents.
  • Work with paralegal in the preparation, management and filing of powers of attorney, legalization, and notarization of documents. File copies of such documents in iManage.
  • Maintain electronic trademark files and certificates in CPI and iManage databases and hard copies in file cabinet.
  • Index and send expired trademark–related documents and files to storage.
  • Scan, code, process and track invoices. Save invoices to iManage; maintain spreadsheet of legal invoices for all VGC companies.
  • Prepare and file expense reports.
  • Organize internal and external meetings; take formal meeting minutes, and track follow–up action items, as requested.
  • Order and track office supplies.
  • Work on special projects as requested, including the annual Legal Department Retreat.
Experience: 2+ years.
  • Office 365 required. Public Notary; iManage, DocuSign, Docminder desired.
Education: Minimum: H.S. Diploma.
