IP Legal Secretary

LHH is partnering with a national firm in seeking an experienced IP Legal Secretary in San Diego. This position offers a hybrid work arrangement, with three days onsite at our office. The ideal candidate will have a strong background in trademark law and at least three years of relevant experience. As an IP Legal Secretary, you will play a crucial role in managing intellectual property matters, ensuring deadlines are met, and providing administrative support to the IP team.

Key Responsibilities:

  • Review and process incoming postal/electronic foreign and domestic mail from the USPTO and foreign associates.

  • Ensure proper recording and docketing of deadlines by reviewing relevant information.

  • Monitor the daily docket to ensure timely completion and filing of all deadlines.

  • Make accurate changes in the file, docketing system, and client information database.

  • Generate docket reports and prepare reports for clients.

  • Prepare correspondences and responses for mailing, faxing, courier, and FedEx, following client instructions and protocol.

  • Manage calendars and schedule conference calls and meetings.

  • Conduct research using various databases and obtain requested documents.

  • Prepare trademark applications, responses, cancellations/oppositions, ensuring proper preparation and filing with the USPTO.

  • Prepare pleadings and filings in Federal Courts and Trademark Trial and Appeal Board.

  • Draft various intellectual property–related legal documents, including assignments/transfers, software licenses, non–disclosure agreements, etc.

  • Assist with firm administrative tasks, including processing new client/matter requests, client bills, and expense reports.

  • Review and coordinate attorneys' billings.

  • Perform any other duties as assigned to meet the requirements of the position.

Qualifications:

  • Bachelor's degree preferred.

  • Minimum of three years of related experience and/or training, or equivalent combination of education and experience.

  • Proactive and efficient in managing dockets, correspondences, and trademark filings.

  • Current knowledge of E–filing systems, such as USPTO, WIPO, & Federal Courts.

  • Current knowledge of PTO rules and procedures.

  • Ability to meet and track deadlines with a strong service orientation.

  • Proactive, initiative–taking, and able to exercise good judgment and discretion with sensitive or confidential matters.

  • Strong attention to detail and commitment to producing accurate work.

  • Strong technical skills, including advanced proficiency in Microsoft Office software (Word, Outlook, Excel, and PowerPoint).

  • Some proficiency in WebTMS, iManage, Compulaw, and/or FoundationIP is preferred.

Location:

  • San Diego, CA

Salary Range and Benefits:

  • $65,000 – $85,000 per year, commensurate with experience, and benefits may include medical, dental, vision, etc.

Pay Details: $65,000.00 to $85,000.00 PER YEAR
